How to Compare AED Quotes in the UAE

1. Start with a common quote brief

A facilities team can receive three AED offers that appear comparable while covering different equipment and services. One may include a cabinet, another may exclude delivery, and a third may list training without describing the course. A common brief makes these differences visible.

State the number of devices, the delivery emirate and site, intended installation environment, preferred prompt languages, expected users and requested handover date. Ask the supplier to identify assumptions and exclusions separately. For several buildings, attach a site-by-site schedule rather than assuming every location needs the same package.

• Record the supplier's legal name, quotation number, validity date and contact.
• Ask for the exact manufacturer, commercial model name and part number.
• Specify whether installation, signage, a cabinet and staff familiarization are requested.
• Request separate amounts for equipment, consumables, services, delivery and any applicable tax.

2. Check pads and batteries by part number

The FDA describes an AED system as including the device and necessary accessories such as batteries and pad electrodes. Its AED guidance lists accessories alongside compatible AEDs and recommends contacting the manufacturer if approval information is unclear. This is US guidance; it does not establish UAE authorization for a product.

For your quote, ask the supplier to identify each included pad and battery part number and provide the manufacturer's compatibility information. If a child-use option is relevant to your site, request the exact configuration and instructions rather than accepting an unspecified 'adult and child' label.

• Confirm quantities and whether spare consumables are included.
• Ask what expiry or install-by information will be provided at delivery.
• Request replacement part prices and current lead times separately from the initial order.
• Do not assume parts from two AED brands or models are interchangeable.

3. Request documents that identify the quoted model

Make a document register with the model name, manufacturer, document title, reference number, issue date and the question it answers. This helps your procurement or compliance reviewer see which claims have supporting evidence and which still need clarification.

Ask for the current manufacturer instructions, technical datasheet, warranty terms and relevant market documentation. A certification logo on a brochure is not a substitute for checking the underlying document's model, scope and status. Have the responsible local reviewer confirm the requirements for your specific facility and jurisdiction; this checklist does not determine legal compliance.

• Flag a model name that differs between the quotation and supporting document.
• Ask which organization handles warranty service and what the written exclusions are.
• Keep unresolved certification and authorization questions open until evidence is supplied.

4. Define the site and handover responsibilities

For a UAE order, include the emirate, building, floor and receiving contact in the delivery scope. For a GCC shipment, request destination-specific delivery terms and identify who handles the required documentation. Do not treat a UAE offer as a commitment to the same terms in another country.

Ask the supplier to check the proposed installation environment against the quoted model's instructions. If you request a cabinet, describe the intended location and ask how its dimensions, access and environmental provisions match the device. Obtain the written conditions instead of assuming an enclosure makes any AED suitable for outdoor storage.

Separate device handover, equipment familiarization and formal training. If a course is included, ask who provides it, what it covers, how many people can attend and what completion record is issued. Assign a named site owner to retain instructions, record checks and handle replenishment requests.

5. Use a comparison table before approving an order

Create one column per supplier and copy the written answers into it. Use 'not stated' for missing information; do not turn an omission into a zero cost or an assumed inclusion. The table below is an original procurement worksheet, not a price benchmark.

6. Compare ownership costs over the same period

Choose one planning period for every offer. Add the device, requested accessories, installation, delivery, training and the replacement or service items identified in each written proposal. Keep tax treatment consistent and record currency and quote validity.

Replacement timing should come from the exact manufacturer's instructions, product labels and your use conditions. Do not assume all models share one pad or battery replacement interval. Keep uncertain future costs as a separately labelled estimate and explain the assumptions.

Send the same unresolved questions to each supplier before making a selection. The cheapest complete offer may differ from the lowest headline price, but a higher price alone does not demonstrate better suitability.
